Executive Board Duties

  • At Prairie Elementary, the Home and School Association Board (H&S) consists of elected officers, standing committee chairpersons, the Principal and a faculty representative.  A current listing of the Board can be found in the current year’s school directory or on the Prairie Elementary website

    Presidents

    The presidents shall preside at all Association Board meetings and shall have general supervision over all activities of the Association’s Board. The presidents shall serve as coordinators for all standing committee chairpersons and shall act as an ex-officio member of all committees. The presidents shall also assume the vice president’s responsibilities in the event that the vice president cannot fulfill their duties. The presidents shall be responsible for other duties as may be assigned to them by the Association or the Executive Board. The presidents shall represent the interest of Prairie as members of the District 203 General Home and School Association Board of Managers.

    Vice President

    The vice president shall preside in the absence of either president and shall assume all duties of a president in a president’s absence.

    The vice president shall also serve as chairperson of the Nominating Committee. The vice president, with assistance from the Executive Board, is responsible for filling committee chairperson positions for the following school year. The vice president shall assist the presidents in coordinating all standing committee chairpersons. The vice president shall perform such other duties as may be delegated.

    Secretary

    The secretary shall have custody of all records and documents, keep a copy of the Naperville District 203 General Home and School Association’s Policies and Procedures and Annual Signature Page, the Association’s policies and procedures and record all amendments and revisions. The secretary shall keep an accurate record of all meetings and other activities of the Association’s Board and shall transmit the same to the succeeding secretary. Electronic records shall be kept for five years. The secretary shall also serve as the liaison between the Nominating Committee and nominees each year. The secretary shall perform such other duties as may be delegated.

    Treasurer

    The treasurer shall receive and disburse all funds of the Association and keep an accurate account of the same. The treasurer shall provide a financial report to the Association at all Board meetings and, in conjunction with the Executive Board, shall prepare a yearly budget.

    The treasurer shall provide a financial statement to the General Home and School for auditing purposes. Records shall be kept for five years. The Treasurer will be responsible for generating all financial reports and managing all information needed for the yearly audit and tax review for the fiscal year in which they served. The timeline for the audit begins in July at the end of the fiscal year and may last into the Fall of the next school year. The Treasurer is required to submit their materials in the summer months even if their term as Treasurer does not extend into the subsequent school year. Failure to produce financial documents and delay the audit review may result in significant fees which will be the responsibility of Prairie Home and School as agreed upon in the Home and School Audit Responsibility Guidelines. The treasurer shall perform such other duties as may be delegated.

     

    Note: All candidates must be active members within Prairie Home & School. It is desirable for the presidential candidates to have served as a chairperson for the Association. Every year a junior president will be elected into the shared role by means of a slate election and shall succeed to the office of senior president for the second year of the term without further election. The vice president shall be elected for a two-year term by means of a slate election held in even years.

    The secretary and treasurer shall be elected for two-year terms respectively, with a slate election for secretary being held in odd years, and a slate election for treasurer being held in even years.
